Sales Operations Coordinator
Nattiluxe is the first quiet-luxury bed brand, creating handcrafted beds and sleep products from exceptional natural materials. Our products are handmade in our ateliers and are designed for clients who value craftsmanship, wellbeing, understated elegance and deeplyrestorative sleep. We are now looking for a highly organised and service-minded Sales & OperationsCoordinator to become a central part of our growing team. This is a varied and important role for someone who enjoys creating order, coordinating many moving parts and ensuring that both customers and colleagues receive professionaland reliable support. You will work closely with our sales team, production partners, suppliers and customers, helping each order move smoothly from the initial quotation through production, delivery and payment.The position is based in a highly international environment, with regular contact with customers, designers, suppliers and production partners across Europe and other international markets.
The Role As Sales & Operations Coordinator, you will help build the structure behind our sales and ensure that important details are followed through correctly. You will support the entire customer and order process while keeping our administration, inventory, materials and internal information accurate and up to date. Your responsibilities will include:
Order and Production Coordination• Registering and managing customer orders.• Ensuring that confirmed orders are communicated correctly to the relevant factoriesand ateliers.• Following the progress of orders from confirmation through production anddelivery.• Checking that factories have received the correct specifications, measurements,fabrics and materials.• Coordinating the purchase and delivery of customer-selected fabrics and otherproduction materials.• Monitoring production schedules and identifying delays or missing information at an early stage.• Maintaining clear documentation for each order.
Sales Support and Customer Administration• Preparing quotations and order confirmations for customers.• Supporting the sales team with product information, pricing, measurements anddelivery details.• Assisting customers with practical questions before and after an order.• Preparing invoices, payment requests and supporting documentation.• Registering and following up customer payments when required.• Helping coordinate deliveries, installations and other logistical matters.• Maintaining an organised overview of active quotations, confirmed orders andoutstanding actions.Inventory and Purchasing• Keeping inventory records accurate and up to date.• Monitoring stock levels for products, samples, fabrics, catalogues, packaging andoffice materials.• Coordinating the ordering of catalogues, samples, printed materials and other salestools.• Ensuring that the showroom and office have the materials needed to supportcustomers and sales activities.• Helping organise incoming and outgoing goods.
Website and Product Information• Checking that product information, specifications, prices and availability arecorrectly presented on our websites and internal documents.• Updating or coordinating corrections when information changes.• Helping maintain consistency across quotations, price lists, catalogues and onlineproduct pages.• Supporting the preparation of new products, materials and collections for launch.
Events and Brand Activities• Occasionally supporting the planning and organisation of showroom events,presentations, launches and customer activities.• Helping coordinate invitations, materials, suppliers, schedules and practicalarrangements.• Assisting the team during events and helping ensure that guests receive aprofessional and welcoming experience.• Supporting collaborations with designers, partners and other representatives of thebrand when required.Office and Administrative Support• Keeping paperwork, supplier documents, invoices and order records organised.• Creating practical routines and checklists that make the daily work more efficient.• Helping maintain a well-organised, welcoming and professional showroom andoffice.• Supporting the team with other administrative and operational tasks when needed.
Who We Are Looking For You are structured, responsible and comfortable taking ownership of practical tasks. You pay attention to details, but you also understand the overall process and what needs to happen next. You will suit this role particularly well if you:
- Enjoy organising information and bringing structure to complex processes.• Are accurate with numbers, measurements, orders and written information.• Communicate professionally and clearly with customers, suppliers and colleagues.• Are comfortable working with invoices, quotations and administrative systems.• Can manage several orders and deadlines at the same time.• Take initiative and follow tasks through to completion.• Have a calm and solution-oriented approach when plans change.• Appreciate design, craftsmanship, natural materials and premium customer service.• Enjoy working in an international and multicultural business environment.• Are comfortable working both independently and as part of a small, entrepreneurialteam.• Have good written and spoken English and Swedish. Additional Europeanlanguages are an advantage.
Previous experience in sales administration, order management, logistics, purchasing, retail, interior design, furniture, hospitality or another premium service environment is valuable, but personal organisation, reliability and the ability to learn are equally important.
