Senior IT PMO Coordinator

Dear Suppliers, We are looking for a PMO Coordinator who can provide expert advice, guidance and support to organizations regarding IT solutions and strategies.
About the Role
The IT PMO Coordinator is a full-time member of the DEER IT Carve-Out/-In Program and the IT Governance and Portfolio Management control team. The role owns the day-to-day operation of the program control system and coordinates delivery across the integrated IT CVO/I roadmap. It ensures that all tracks report consistently and that plans, risks, dependencies, costs, actions, decisions and readiness evidence remain current, complete and traceable.
Responsibilities
Establish and operate the PMO routines, tools, templates and control artefacts required for the DEER IT CVO/I ProgramMaintain the integrated roadmap, detailed schedule, milestones, dependencies, critical path and approved baseline.Coordinate workstream planning, reporting cycles, status updates and follow-up across all IT tracks.Administer the central RAID, dependency, action, decision and change logs, including ownership, due dates and escalation statusPrepare program reports, governance packs, agendas, minutes, decision records and readiness evidence.Track budget actuals, forecasts, resources and approved scope, cost and schedule changes.Maintain a controlled Microsoft 365 repository for PMO documentation, evidence and version management.Support tollgates, Day-1 readiness, cutover, go-live, handover, hypercare and TSA/RTSA exit activities.
Qualifications
Relevant university or college degree in Business Administration, Engineering, Information Systems, Project Management or a related discipline, or equivalent professional experience. Relevant certifications are advantageous, for example PMP, PRINCE2, IPMA, PMI-PMOCP, MSP, AgilePM and recognized Microsoft Project training.
Required Skills
Complex IT program coordination: demonstrated experience as a PMO Coordinator, Project Coordinator, Program Planner or equivalent role in a large, multi-workstream IT program.Carve-out and transformation delivery: practical experience supporting major transformations, carve-outs, mergers and acquisitions, separations or the establishment of standalone organizations; IT carve-out/-in experience is strongly preferred.Integrated planning and scheduling: strong hands-on experience with Microsoft Planner premium plans and/or Microsoft Project, including work breakdown structures, task dependencies, baselines, milestones, critical-path analysis, progress tracking and forecast updates.Program controls: proven experience establishing and maintaining RAID, dependency, action, decision and change-control processes, with clear ownership, due dates, impacts and escalation status.Executive reporting: experience coordinating multi-workstream reporting, validating source information and producing concise, decision-ready material for program management and Steering Committees.Budget and resource control: experience administering budgets, tracking actuals, forecasts and commitments, supporting resource planning and maintaining approved scope, cost and schedule changes.Governance and readiness: experience establishing governance calendars and meeting routines and supporting tollgates, cutover, Day 1, go-live, handover, hypercare and evidence management.Microsoft 365 proficiency: advanced practical skills in Teams, SharePoint, Excel and PowerPoint; experience with Microsoft Planner premium plans is a major plus.Information structuring and quality assurance: ability to convert incomplete, inconsistent or changing information into reliable plans, registers, reports, dashboards and decision material.Language: excellent written and spoken English; professional proficiency in Swedish is strongly preferred.Location and availability: able to work full time and be present on site in Solna/Stockholm approximately three-four days per week, subject to final agreement.
