Contractor Coordinator

Location: Helsinki, FinlandProject: Data Centre ConstructionStart: ASAP About the RoleWe are looking for an organised and proactive Contractor Coordinator to support the day-to-day administration and mobilisation of the contractor workforce on a major data centre project in Helsinki. You will be the main administrative point of contact for contractors on site, helping to keep workforce records, timesheets, documentation, accommodation and transport organised and up to date. Key ResponsibilitiesMaintain accurate records of contractors working on site.Track starters, leavers, transfers and absences.Manage daily attendance and weekly timesheets.Follow up on missing or incorrect timesheets and approvals.Maintain contractor documentation and site-readiness records.Coordinate contractor arrivals, onboarding and mobilisation.Manage accommodation records, check-ins, check-outs and room allocations.Coordinate transport between accommodation and the project site.Act as a day-to-day administrative contact for contractors.Maintain accurate Excel trackers and provide regular workforce updates to management.Communicate with supervisors, contractors and the wider project team.Support general HR and workforce administration throughout the project lifecycle.RequirementsPrevious experience in administration, project administration, site administration, compliance or contractor coordination.Strong Microsoft Office and Excel skills.Excellent attention to detail and organisation.Comfortable managing timesheets, records and large amounts of information.Confident communicating with contractors and project teams.Good written and spoken English.Construction, engineering or data centre experience is advantageous.Previous experience with workforce mobilisation, timekeeping or contractor administration is highly desirable.EU passport and/or existing right to work in Finland is required/preferred.Available to start ASAP.
