Document Controller – Romanian Speaker – Data Centre Project

Glent Group, a dynamic CSA specialist in Groundworks, Concrete Works, Underground Services, Structural Alterations, and External Works, is headquartered in London and operates across Europe. We are seeking an organised and proactive Romanian-speaking Document Controller to join our team in Helsinki, Finland, supporting the delivery of large-scale hyperscale data centre construction projects. This is a varied administrative role supporting both project documentation and the day-to-day administration of our site workforce. The ideal candidate will have strong administrative and organisational experience, excellent attention to detail and the ability to manage documentation accurately in a busy working environment. Fluency in Romanian and English is essential for this position. Previous experience in construction or document control would be beneficial but is not essential, as training can be provided. Working within the project team and reporting to the Project Management team, you will play a key role in ensuring project documentation is accurately maintained, while also assisting site personnel and new joiners with administrative requirements. Document ManagementMaintain and manage project documentation in accordance with company procedures and client requirements.Ensure accurate filing, tracking and archiving of technical documentation, drawings, reports and project correspondence.Maintain document registers and ensure documents are updated, issued and stored correctly.Control the filing, sorting and retrieval of electronically stored and hard-copy documentation.Ensure the latest versions of relevant project documentation are available to the site team.Assist with document submissions and general project administration. New Joiner & Site AdministrationAssist new joiners with completing and submitting required employment and site documentation.Support employees with Finnish Tax ID, tax card documentation and other onboarding paperwork.Provide Romanian-English translation support and assist Romanian-speaking employees with understanding and completing relevant documentation.Liaise with HR and Payroll regarding new joiners and outstanding employee documentation.Maintain accurate workforce records and assist with site compliance documentation.Support employees with general administrative queries relating to their employment documentation and onboarding.Assist the project team with general day-to-day site administration. Systems & ReportingMaintain document control systems and ensure accurate data entry.Maintain spreadsheets, registers and other administrative records.Generate reports on document status and outstanding documentation.Ensure documentation is filed and maintained accurately and confidentially. GeneralLiaise with project managers, engineers, supervisors, subcontractors and internal departments to ensure information and documentation are provided when required.Provide administrative and coordination support to the project team.Ensure confidentiality and appropriate handling of sensitive project and employee information. QualificationsA degree or diploma in Business Administration or a related field would be beneficial but is not essential. Experience1–3 years of administrative, office coordination or similar experience.Experience managing documents, records, spreadsheets or databases.Experience supporting employees or new joiners with administrative documentation would be beneficial.Previous construction, engineering or document control experience is advantageous but not essential. SkillsFluent Romanian and English – essential.Strong administrative and organisational skills.Excellent attention to detail and accuracy.Ability to manage multiple tasks and priorities in a busy environment.Strong communication and interpersonal skills.Good working knowledge of Microsoft Office, particularly Excel, Word and Outlook.Ability to work independently as well as part of a wider project team.Comfortable working within an international and multicultural environment.Previous experience with document management systems would be beneficial but is not required.
