Company Description SwedBNB is Sweden’s leading short-term rental and Airbnb co-hosting company, supporting property owners with end-to-end management of their Airbnb rentals. The team is made up of local and international experts dedicated to simplifying property investment and the short-term rental experience. SwedBNB manages marketing, 24/7 guest communications, dynamic pricing, cleaning, maintenance, financial reporting, and owner support to deliver a seamless experience for both guests and property owners. Role Description The Operations Coordinator is a full-time, hybrid role based in Stockholm, Sweden. In this role, you will support day-to-day operational activities, including coordinating cleaning and maintenance schedules, monitoring property readiness and quality, and ensuring smooth onboarding of new properties into the SwedBNB portfolio. You will handle administrative tasks such as updating property information, tracking reservations, and maintaining accurate records for reporting. You will collaborate closely with customer service and guest communication teams to resolve issues quickly, support dynamic pricing and occupancy optimization, and escalate operational concerns when needed. You will also assist with process improvements, vendor coordination, and quality control to uphold SwedBNB’s service standards. Why this role existsSwedBNB is scaling fast. Your actions will be the largest determining factor on whether our properties are rated five-stars by travellers. What you will doThis role splits roughly 40/60 between New Property Onboarding and Field Operations support.A) Property Onboarding (≈40%)Own the onboarding standard for new homes, from prework to live.Coordinate cleaners, linens, and supplies; confirm property readiness to SwedBNB’s Minimum Requirements.Stage and prepare the home; install and test noise and temperature monitoring devices; label keys; place welcome notes and consumables.Arrange photography; capture supplemental photo/video for listings and guest guidance.Build and publish listings on Airbnb, Booking, VRBO, Google and configure in property management software.Upload all assets to the correct internal structure; ensure synchronisation and calendars are live.Produce a concise handover report with any propertyspecific risks, followups, or owner actions. B) Field Operations & Owner/Guest Support (≈60%)Conduct quality assurance inspections across Stockholm, Göteborg, Malmö, Båstad, and other cities; spot issues before guests do.Coordinate and hold vendors accountable (cleaning, maintenance, suppliers).Support rapid troubleshooting during turnovers and live stays; execute fixes or escalate with clarity.Keep owners informed with friendly, factual updates; log actions in our systemsAssist with inventory, keys, device swaps, minor fixes, and practical onsite tasks that keep operations moving.Support production of social media and marketing material including videos of properties and produce user-generated content that promotes SwedBNB and our properties.Contribute to process improvements and when you fix something, you also improve the system so it’s solved once. What good looks like (targets)Professionalism: 100 percent completion of onboarding requirements at new properties.Innovation: you are constantly identifying new ways to improve operations, increase effectiveness, and provide better hospitality to our guests and property owners.Quality: First five guest stays average five-star rating; zero critical misses on the QA checklist. In your first 90 days30 days: Learn our tools and standards; shadow three onboardings; complete solo QA inspections; build trust with cleaners and vendors. You identify at least one area that can be improved, and develop and implement an action plan that demonstrates results.60 days: Lead full end-to-end onboardings; publish listings independently; close the loop on defects without drama.90 days: Operate as a reliable field lead; proactively identify improvements to our procedures and checklists. You have implemented at least two important action plans that improve efficiency, profitability, or increase sales. Must havesAmazingly positive demeanour: calm under pressure, optimistic, and professional with owners, guests, and colleagues.Driving licence (körkort) and willingness to travel nationwide (typically up to eight days per month, sometimes more, and you decide when balancing operational needs).Right to work in Sweden and based in or near Stockholm.Strong written and verbal communication in English and Swedish.Comfortable with hands-on work at properties and confident managing contractors.High personal standards: you are a perfectionist and consistently professional in how you appear, speak, and perform. QualificationsOperations coordination skills, including coordinating schedules, managing multiple properties or projects, and supporting process improvements.Excellent communication skills, with the ability to interact professionally with property owners, vendors, team members, and guests in a clear and respectful manner.Customer Service experience, including handling inquiries, resolving issues, and maintaining a guest- and owner-focused mindset.Administrative assistance skills, such as data entry, document management, calendar coordination, and accurate record-keeping.Solid analytical Skills to interpret operational data, identify trends, and support decisions that improve efficiency and quality.High level of organisation, attention to detail, and ability to manage priorities in a fast-paced environment.Comfort with digital tools and platforms (e.g., property management systems, spreadsheets, communication tools); experience in hospitality or short-term rentals is an advantage.Ability to work both independently and collaboratively in a hybrid setting; proficiency in English required, and Swedish language skills are a plus.
