Keep every creative pod moving.Remote | Full-Time | Operations-Focused Job SnapshotOur creative team operates through small, high-performing Creative Strategist + Paid Ads Video Editor pairs, supported by content creators and AI tools.As we scale, our Head of Creative needs to focus on strategy, coaching, and creative performance rather than chasing deadlines, following up on tasks, or resolving daily execution issues.That’s where you come in.You’ll own the operational execution of the creative team, ensuring work moves smoothly from idea to launch while identifying and removing bottlenecks before they impact output.You are not responsible for creating ads.You are responsible for making sure the people creating them can perform at their highest level. The RoleYou will own project execution across the creative team so strategists and editors remain aligned, accountable, and productive.Your work should result in:More creatives launched on timeFewer production bottlenecksClearer priorities and ownershipLess daily coordination for the Head of CreativeYou will become the operational backbone of the creative department.If done well:The Head of Creative no longer needs to chase deadlines.Strategists and editors communicate proactively.Work moves forward without constant intervention.Everyone knows what they are working on and when it needs to be delivered. Key ResponsibilitiesYou will be accountable for:Project & Workflow ManagementManage the workflow of multiple strategist/editor pairs simultaneously.Track concepts from brief through final delivery and launch.Manage timelines, deadlines, workload allocation, and production schedules.Ensure briefs contain all required information before moving forward.Maintain accurate project tracking in Notion, Asana, or ClickUp.Accountability & Follow-ThroughEnsure scripts are delivered on time.Ensure editor reviews happen within 24 hours.Ensure revisions do not sit longer than 48 hours.Follow up before deadlines are missed, not after.Keep strategists, editors, and leadership aligned on priorities and next actions.Blocker ResolutionIdentify blockers early.Work to resolve operational issues before they affect delivery.Escalate issues requiring leadership decisions with context and a proposed solution, not simply the problem.Meetings & ReportingFacilitate the weekly production planning and progress meeting with the Head of Creative and Head of Video Editing.Provide visibility into capacity, project status, and delivery risks.Deliver concise daily and weekly reports.Onboarding & AdministrationManage the operational side of onboarding.Ensure access, tools, and documents are ready before Day 1.Distribute new SOPs and process changes and confirm team awareness.Handle administrative tasks that keep the team moving, including access requests, software codes, invoices, time-off relays, and offer or pricing updates.Process ImprovementContinuously improve creative workflows.Identify operational friction and opportunities for greater speed and efficiency.Help integrate AI and automation into creative operations where appropriate. What Success Looks LikeYou’re succeeding when:Strategists and editors consistently deliver on schedule.Deadlines are met without leadership chasing people.Blockers are resolved before becoming major issues.The Head of Creative hears about production risks from you first.Team members always know their priorities and next actions.New hires know exactly what to do from Day 1.Creative throughput increases as operational inefficiencies decrease.The Head of Creative spends significantly less time managing projects and more time improving creative strategy and coaching the team. Required ExperienceSeniority: Entry–Mid LevelYou should have:2+ years managing creative, marketing, or agency projects.Experience coordinating editors, copywriters, designers, or creative teams.Strong project management skills across multiple priorities.Excellent organizational and follow-up habits.Ability to hold teams accountable without micromanaging.Strong written and verbal English.High emotional intelligence and confidence communicating with different personalities.Ability to resolve issues independently while escalating the right ones.Experience working with remote teams.Bonus ExperienceDTC ecommerce brandsPaid advertising creative teamsMarketing agenciesHigh-output creative production environments Tools & EnvironmentYou’ll work across:NotionAsanaClickUpGoogle WorkspaceSlackLoomCreative production pipelinesAI productivity and automation toolsYou don’t need to know every tool already.
