Role OverviewThe CRM & Deal Process Manager is the operational “air traffic control” for Run’s deal pipeline. Dealmakers and analysts retain ownership of their deals; this role enables them to move faster by maintaining context, securing missing information, coordinating stakeholders and keeping every action visible and moving towards completion. Reporting directly to the Chief Catalog Officer in Stockholm, this person will work across RUN’s European and US teams. The role suits a highly conscientious and commercially minded organiser who enjoys solving problems, creating clarity and ensuring that nothing falls through the cracks. Working Hours, Term & LocationWorking hours: Full-time, 40 hours per weekTrial period: Six monthsLocation: Stockholm-based hybrid role, with a minimum of two office days per weekTime zones: Daily US overlap during Swedish afternoons, generally until 17:00–18:00, with occasional evening calls Key ResponsibilitiesDeal Flow CoordinationMaintain a complete, accurate view of active deals, their status, next actions, owners and blockers.Coordinate deliverables across dealmakers, analysts and other stakeholders, enabling them to progress their deals efficiently.Proactively request and secure missing supporting documents, information and deal context from internal or external stakeholders.Chase updates, solve operational problems and keep deals moving towards completion.Provide regular pipeline updates, including deal ageing, outstanding actions, risks and bottlenecks.Ensure important decisions, communications and supporting context are properly documented and easy to find. Agreement & Deal AdministrationDraft standard agreements using RUN’s approved templates.Coordinate with outside counsel when agreements require bespoke drafting or legal input.Manage comments, documentation, approvals and execution steps through to signature.Maintain accurate and up-to-date agreement records and deal databases.Ensure executed agreements and supporting materials are correctly filed and accessible. Cross-Team HandoverAct as the interface between Deals, Artist Success, Finance and other teams following execution.Coordinate complete and accurate handovers, ensuring each team has the information and documentation required to proceed.Track post-signing deliverables through to completion, including confirmation of artist payment.Surface missing information or stalled actions early and work with the relevant owner to resolve them. Sales CRM & Opportunity ManagementSelect, implement and own a sales CRM, drawing on prior hands-on experience with platforms such as Pipedrive, Monday, Copper, HubSpot or Salesforce.Build and maintain a structured database of Run’s contacts, leads, relationships and opportunities.Ensure interactions, next steps and follow-up dates are consistently captured.Set reminders and prompt dealmakers to maintain important relationships and follow up at the right time.Contact external parties directly where appropriate for the audience and situation.Reactivate dormant leads and highlight new commercial opportunities for the Deals team.Produce useful CRM reporting and insights for Paul and the wider team. What We’re Looking ForThis role is well suited to someone who: Is exceptionally conscientious and takes personal responsibility for seeing tasks through.Is a keen organiser who enjoys creating order across multiple moving parts.Has the persistence and diplomacy to chase people effectively and secure what is needed.Communicates clearly across teams, seniority levels and time zones.Has strong commercial instinct and can recognise when a contact, lead or conversation may represent an opportunity.Is a practical problem solver who acts proactively rather than waiting to be directed.Has experience supporting a fast-moving sales or commercial team.Has prior hands-on experience implementing and managing a sales CRM—for example Pipedrive, Monday, Copper, HubSpot or Salesforce—and understands the discipline required to keep it useful and current.Can handle sensitive commercial information with discretion and accuracy.May have experience in music rights, royalties or deal administration, although this is an advantage rather than a requirement. Role EvolutionFor a more experienced hire, the role may develop into broader ownership of deal process and CRM, workflow design and process improvement as RUN continues to scale.
