Make sure nothing gets lost.Full-Time | Remote | Monday–Friday | 9 AM–5 PM EST | $1,500 Base + Up to $500 Monthly Performance Bonus Job SnapshotWe’re a high 8-figure DTC brand approaching $150K/day in ad spend across all channels, with a path toward a $100M run rate.We’re looking for a highly organised, proactive Marketing Operations Assistant to work directly with the CMO of a fast-scaling DTC ecommerce brand.Your job is simple:Make sure the CMO spends his time on creative strategy and decisions—not chasing tasks, checking statuses, or handling work someone else could own.You’ll track projects, take work over, delegate what belongs with the team, identify repetitive work that should be automated, and follow up until deliverables are actually complete.This is not a traditional assistant role where you wait for instructions.We’re looking for someone who sees what needs to happen and moves it forward. About the CompanyWe’re a fast-scaling DTC ecommerce brand in the premium women’s travel bag category.Our marketing team operates remotely and moves quickly. As we grow, more projects, systems, KPIs, and recurring operational tasks require active ownership.The CMO should not be the person keeping all of those moving.That’s where you come in.Your role is to create operational leverage around the CMO and wider marketing team, freeing leadership to focus on creative strategy while you keep execution organised, visible, and moving. The RoleThis role has three core functions:1. Free Up the CMO’s TimeYou’ll continuously review the CMO’s active projects and task list and determine:What can I execute myself?What should be delegated?What repetitive work should be automated?What genuinely requires the CMO’s decision?The goal isn’t simply to organise his workload.The goal is to reduce it.2. Keep Team Projects MovingYou’ll maintain visibility across team projects and deliverables.You’ll:Keep project databases current.Follow up with owners in Slack.Close loops.Identify blockers.Escalate issues with enough context for a fast decision.The CMO should never need to ask:“Where is this?”3. Track System HealthOur core business systems have KPIs.You’ll:Track key performance indicators.Follow up with system owners when performance slips.Identify what is on or off target.Make sure leadership has an accurate view of system health.Help define additional KPIs with the CMO where needed. Key Responsibilities⚡ Reduce CMO WorkloadTake over operational tasks from the CMO.Delegate work to the appropriate team members.Identify opportunities to reduce unnecessary work.Identify repetitive tasks that could be automated.📊 Own Project TrackingTrack team projects, deliverables, owners, statuses, and deadlines.Keep Notion project information accurate and up to date.Follow up on outstanding items.Identify delays and blockers early.💬 Drive Follow-ThroughFollow up with team members through Slack.Keep tasks moving until completed, blocked, or escalated.Escalate issues with clear context and proposed next steps where appropriate.🤖 Identify Automation OpportunitiesIdentify repetitive manual work across the CMO’s workload and wider team.Document the desired outcome and workflow.Hand strong automation opportunities to the automation specialist.Help ensure identified automations are actually implemented.📝 ReportingProduce a concise daily EOD report covering:What was handledWhat remains pendingWhat requires the CMO’s decisionProduce a weekly report covering:Team projectsOutstanding follow-upsSystem KPI performance🛠️ Operational AdministrationAssist with operational needs when required, including:New-hire onboardingRecruiting agency coordinationAccess and password managementTool and account setupOther administrative tasks supporting marketing operationsStrategic and creative decisions remain with the CMO.Your responsibility is to make sure everything around those decisions moves. What Success Looks LikeYou’re succeeding when:The CMO gets measurable hours back every week.More repetitive manual tasks are identified and converted into automations.A high percentage of team deliverables are completed on time.Follow-ups are consistently closed.Daily EOD reports are delivered every working day without being chased.Weekly project and KPI reports are delivered on time, every time.Notion project statuses accurately reflect reality.The CMO rarely needs to ask for updates because you’ve already communicated them.Ultimately, your impact should be visible in two places:More time available to the CMO.Fewer operational loose ends across the team. Required ExperienceThis role is best suited to someone with 2+ years of experience as an:Operations AssistantProject CoordinatorExecutive AssistantMarketing Operations AssistantSimilar operational role within an ecommerce brand or marketing agencyYou must have:Deep Notion experience, including databases, statuses, views, and dashboards.Experience tracking multiple projects and deliverables simultaneously.Experience following up with remote teams through Slack or similar platforms.Excellent written English.Strong organisational skills and attention to detail.Strong judgment and proactive problem-solving ability.Ability to determine what you can take over versus what requires leadership input.Confidence following up respectfully until work is completed or a blocker is identified.You should not need detailed instructions every time something needs to move.
